Purpose of Position:

The Project Assistant would support the project management team. This role involves providing administrative assistance, organizing project documentation, coordinating meetings, and facilitating communication among project stakeholders. The Project Assistant ensures the smooth and efficient execution of projects by assisting with various tasks throughout the project lifecycle.


ESSENTIAL DUTIES/KEY JOB ROLES AND RESPONSIBILITIES

include but not limited to the following:

  • Assist project managers with administrative tasks such as scheduling meetings, preparing
  • agendas, taking meeting minutes, and maintaining project documentation.
  • Coordinate logistics for project activities including site visits, procurement of materials, and
    arranging transportation and accommodation for project teams.
  • Assist in monitoring project budgets, tracking expenses, and maintaining records of project
    expenditures.
  • Facilitate communication within project teams by relaying information, responding to
    inquiries, and ensuring all stakeholders are informed of project progress.
  • Maintain organized project files and databases, including contracts, permits, drawings, and
    other relevant documentation.
  • Assist in monitoring project quality standards and compliance with regulatory requirements,
    conducting inspections, and ensuring corrective actions are implemented when necessary.
  • Support project managers in identifying and mitigating project risks by maintaining risk
    registers, tracking issues, and assisting in the development of risk mitigation strategies.

KEY PERFORMANCE INDICATORS

  • Measure the efficiency and accuracy of maintaining project documentation.
  • Assess the organization and effectiveness of project meetings and events.
  • Track the timeliness and quality of services provided by subcontractors, suppliers, and
    vendors.
  • Monitor adherence to project budgets and identify areas for cost savings or optimization.
  • Solicit feedback from project stakeholders to gauge satisfaction with project support services.
  • Measure the completion of assigned tasks within designated timeframes and with minimal
    errors.
  • Assess the ability to identify and address project-related issues proactively and resourcefully.
  • Evaluate the effectiveness of collaboration and support provided to the project management
    team and other stakeholders.
  • Measure the ability to adapt to changing project requirements, priorities, and deadlines.

QUALIFICATIONS

  • Bachelor’s degree in business administration, project management, construction management, or a related field.

EXPERIENCE

  • Prior experience in a project support role within the real estate or construction industry is preferred.
  • Familiarity with project management principles and practices.
  • Excellent computer skills, including proficiency in Microsoft Office Suite and project management software.
  • Strong organizational and administrative skills with the ability to multitask and prioritize tasks effectively.
  • Willingness to work flexible hours as required by project demands.
  • Demonstrated commitment to upholding ethical standards and professionalism in the workplace.
